User guide

ELMS turns Amazon product links into eBay listings and helps you run your store afterwards. This guide takes you from a new account to your first listing, then covers the main parts of the app. Pick a topic from the contents.

Quick start

Six steps from a new account to your first listing. Buttons and tabs are written as the app shows them, for example Publish.

  1. Create your account and confirm your e-mail with the code ELMS sends you (see how to create your account).
  2. Connect your eBay store. You approve the connection on eBay’s own page.
  3. Save your selling defaults: your payment, fulfillment and return policies and your item location.
  4. Set your margin, so ELMS adds your fees and profit to a product’s cost. Without a margin, a draft is priced at the Amazon price.
  5. Import a product from an Amazon link. It arrives as a draft in Drafts.
  6. Check the draft in the listing editor, then publish it.

Imports and publishing use credits. Your balance is the credits chip in the top bar; if it is empty, see Credits and plans before you import. If something goes wrong, see Troubleshooting.

Getting started

Create your account, connect your eBay store, save your selling defaults and choose the store you work in.

Create your account

Open the sign-up page. If you see the login form, choose Sign Up below it.

  1. Fill in Username, Email, Password and Confirm password.
  2. Pick the country of your phone number and type the number in Phone number. ELMS uses it for account contact and security.
  3. If a friend invited you, enter their code in Referral code. The field exists only at sign-up.
  4. Tick the box that accepts the Terms of Service, Privacy Policy and Refund Policy, then press Sign Up.
  5. Type the 6-digit code from your e-mail in Confirmation code and press Confirm and create my account.

No account exists until you enter the code. If the e-mail is slow, check spam and use Resend code; if you mistyped the address, choose Use another email.

Sign in, and other ways in

  • Email or username. Type it in Email or username, add your password and press Login.
  • Continue with eBay. Choose your eBay site beside the button, press Continue with eBay and approve on eBay. Back in ELMS, choose a username and password and give your e-mail and phone. Your store connects when you enter the e-mail code.
  • Sign-in provider. A button on the same form signs you in without typing a password.
  • Forgot password. Press Forgot password?, enter your e-mail and press Send code. Enter the Verification code and a New password, then press Reset password.

Connect your eBay store

You approve the connection on eBay’s own page, so ELMS does not see your eBay password.

  1. In the sidebar, under eBay account, press + Connect eBay account.
  2. In Choose your eBay marketplace, pick the eBay site your listings go to and press Continue to eBay.
  3. Sign in on eBay and approve. eBay lists the exact permissions on its own page; ELMS asks only for what its features need.
  4. Back in ELMS, your store appears under eBay stores in Settings.

Save your selling defaults

  1. Open Settings and find Selling settings.
  2. Under Editing settings for, choose the store and press Fetch from eBay.
  3. Choose your Payment policy, Fulfillment policy, Return policy and Product location.
  4. Press Save settings.

All four are needed to publish

If a list says none were found, create that policy in your eBay account, then press Fetch from eBay again.

Select, rename or disconnect a store

ELMS shows one store at a time, the one chosen under eBay account in the sidebar. Drafts, Live listings, Orders and Messages follow it. Switching deletes nothing.

  • Add another. Press + Add eBay account. How many stores you can connect comes with your plan.
  • Rename. Type a name on the store’s row in Settings and press Save name.
  • Disconnect. Disconnect hides the store. Its live listings, orders, messages and notes are kept for 30 days, then deleted; drafts stay and eBay is untouched. Reconnect the same eBay account within 30 days and everything returns.

Account basics

In the top bar, the bell opens your notifications, the credits chip shows your balance and opens Buy Credits (see Credits and plans), and your name opens a menu with Connect eBay, Settings and Logout. To change your phone number, press Change on the Phone number card in Settings.

Find your way around

The sidebar lists Dashboard, Import, Drafts, Live listings, Orders, Net Profit and Messages. Under Tools you find Research Tools and Price Calculator. Under Account you find Settings, Safety Center, Vouchers, Refer & Earn, Affiliate, Buy Credits and Support.

The Dashboard opens first. It shows Profit, Total revenue, Orders and New products, a Net Profit strip with buttons for the period, your Recent publish activity and your latest notifications. Open the sheet goes to Net Profit. When a store is connected, the Seller health card under the four cards shows its eBay seller level and the numbers behind it.

Importing

ELMS turns a product link into a draft with title, pictures, description, item details and a price from your margin. Nothing reaches eBay until you publish.

Import one product from a link

  1. Open Import. Stay on the Amazon tab and choose Single link.
  2. Paste the product page address into Amazon product link.
  3. Press Fetch product.

The field clears, so you can paste the next link at once. ELMS fetches in the background, tells you when the draft is ready and shows it in Drafts. Credits are used when the import completes. Your Margin prices the draft. If you have not set one, press Margin on this page before you import: without a margin, ELMS prices the draft at the Amazon price. See Pricing rule and margin.

  • One link, one draft. ELMS imports the product you linked. For another colour or size, import its own link.
  • The Amazon site must fit your store. A UK store takes amazon.co.uk links, a US store amazon.com links, and so on. If a link does not fit, ELMS says so and imports nothing.

Import a list of links

Both tabs take one Amazon link per line in Amazon links.

  • Bulk import suits a short list. Press Fetch all and keep the tab open. ELMS reports which links became drafts and why others failed.
  • Large import suits a long list. Press Start background import. A bar shows progress and you can close the tab; reopen Large import and the bar returns. Cancel keeps the drafts already saved, Retry failed repeats the failed links and View drafts opens the results.

Large import skips any line that is not a valid Amazon link.

Import from a CSV file

Use a CSV file for products without an Amazon link, such as your own stock. Each row becomes a draft. You need a connected store, because ELMS reads the Cost in your store’s currency.

  1. Open Import and choose the CSV file tab.
  2. Press Download template, delete its two example rows and add one row per product.
  3. Save as CSV and pick the file with Choose a CSV file, or drop it on the box. ELMS checks every row and lists what to fix. Nothing is saved yet.
  4. Press Import N products (the button shows how many rows passed the check) and keep the tab open. Stop ends it early; choose the same file again to continue, and imported products are updated, not doubled.
Columns of the CSV file
ColumnNeededWhat it holds

Quantity, Brand, Category ID, DescriptionNoSaved on the draft. Brand becomes the Brand item specific.

SKU,Title,Cost,Sell price,Quantity,Image 1
MUG-001,Ceramic Coffee Mug Blue,4.50,,1,https://example.invalid/mug-1.jpg

If a text contains a comma, put it in quotes.

Add the pictures

Pictures come from the Image links or from your computer: in Drafts, press Upload images and name each file after its draft’s SKU. MUG-001.jpg is the first picture and MUG-001_2.jpg the second. ELMS shows which draft each file matches before it uploads. A draft without a picture cannot be published; No picture in Drafts lists them.

A CSV product has no source link, so ELMS leaves its stock and price monitoring off and you decide when to reprice or end it.

Import before you connect a store

You can start before your store is connected. The product becomes a draft that belongs to you, and it shows in Drafts either way. When you connect a store, ELMS attaches these drafts to it, so connect one before you publish. If ELMS asks for a store first, it imports nothing and uses no credit. A CSV import needs a store.

Drafts and the listing editor

Every imported product waits in Drafts until you publish it. Check it, change what you want, then publish. Publishing has its own section.

The Drafts page

Each product is a card with its picture, title, source, Cost, Sell price, Qty and Profit.

  • Stages. Ready to publish, Publishing now, Scheduled and Needs attention filter the list. A failed publish shows its reason.
  • Quick edits. Change Sell price or Qty on the card and the profit updates. When your margin priced the draft, Profit is what is left after eBay fees; otherwise it is sell price minus cost. With Stock Monitoring on, ELMS sets the quantity of an Amazon listing itself once it is live; see Monitoring stock and price.
  • Find. Search by title, ASIN or SKU, sort, filter by source, and switch between Cards and List. No picture and VeRO words show the drafts that need work.
  • Card buttons. Edit, Publish, and a three-dot menu with Schedule listing and Delete draft. + Add note keeps a private note; ELMS does not send it to eBay or Amazon.

The listing editor, tab by tab

Press Edit, or click the picture or title. Set Sell price and Quantity at the top. The draft saves itself as you work, and the footer says All changes saved.

The tabs of the listing editor
TabWhat you do there
ProductEdit the title and category, set policies and item location, and switch Stock Monitoring and Price Monitoring on or off.
DescriptionEdit the description, which holds simple HTML, and check the Preview.

ImagesRemove a picture with its cross, or add one with Add from URL. Every listing needs one.
Item SpecificationsFill in the item specifics eBay asks for in your category; the Required ones are marked. Add your own with + Add custom specification.

ELMS suggests categories from your title and lists them in the Category box. Choose one before you publish; the item specifics load from it. The counter beside Title shows how much of eBay’s title space you have used.

AI helpers

ELMS uses AI services to help write and improve titles, descriptions, item details and message drafts. You decide what is published or sent: you review drafts before they go live, bulk actions ask you to confirm first, and automatic replies stay off until you turn them on.

  • Optimize Title With AI (Product tab) rewrites your title using the category and description.
  • Generate Description With AI writes a clean description from the product’s facts. Beautify With AI restructures the text in the box into your Description Template.
  • Fill with AI (Item Specifications) fills the empty item specifics it can answer and keeps what you typed. Choose a category first.

AI helpers can use credits when they finish, and your balance in the top bar updates. Read the result: AI can make mistakes. A few steps use AI output without a separate look at each result, so know where they are:

  • The AI tools in Live listings change listings that are already on eBay. They push their result to eBay when you confirm, so check your selection and read the window first.
  • When you publish a draft that has no eBay category, ELMS can pick one for it with the help of AI and save it on the draft.
  • Auto-send in Messages sends drafted replies on its own. It stays off until you turn it on; see AI drafts and reply modes.

Policies

Every listing needs a payment, a shipping (fulfillment) and a return policy, created in your eBay account. Your store defaults live in Selling settings. For one product, switch off Use Dynamic Policies (Shipping, Payment, Returns) on the Product tab and choose Payment Policy, Shipping Policy and Return Policy; Account default keeps the store default. For many drafts, tick Policies in Bulk edit.

Item location and postal code

eBay needs the place the item ships from, with a full postal code: in the UK the whole code, such as M1 1AE. Countries without postal codes, such as Hong Kong, need none.

  1. In Selling settings, open Product location. Choose a location from eBay, or Custom location…, the last entry of the list.
  2. For a custom location, choose the Country, type the City and press Generate valid code. ELMS suggests a postal code for that city. Use a code that matches where the item ships from. If you know your own, type it in Postal code and press Use my own code; ELMS checks it.
  3. Press Save settings.

One product can ship from elsewhere. On its Product tab, set Country Location, City and Zip code, or press Generate. A country and code saved on a product replace the store location for it.

Pricing rule and margin

Your margin turns a product’s cost into an eBay price, and every new import follows it. eBay takes its fees from what the buyer pays in total, so the margin adds your fees and profit to the cost.

  1. Press Margin on the Import page or in Settings. Switch on Use this margin for new imports and pick the currency in Amounts are in.
  2. Enter your fees in Fees % and Fixed fee per order (Help me calculate opens the Price Calculator), and your profit in Additional profit % and Additional profit. Add Minimum profit per product for a floor.
  3. Optional: Include shipping price adds delivery to the cost, Set price cents value rounds prices up to those cents, and Use different profit for cost ranges sets a profit per cost range (+ Add a range).
  4. Type a cost under Try your rule to see the price and its breakdown. Press Save pricing.

A rule applies to products you import from now on; drafts keep their price. To reprice drafts, use Bulk edit, tick Price and choose Use my pricing rule. With no margin, or with it off, products come in at the Amazon price.

Price Calculator

Price Calculator in the sidebar, under Tools, finds the price that leaves the profit you want after eBay’s fees, or shows what a price you already have earns you. Fill in What it costs you, eBay fees and What you want, or type a price under Or test a price you have. Price one of your drafts uses a draft’s Amazon cost and saves the result straight back to that draft.

Description template

In Settings, open Description Template. Pick a Starting style, tick the Blocks to include and add your branding: Store name (shown in the description), Logo URL (optional) and Accent color. You can add a Custom HTML block (optional), a Size chart HTML (optional) and a Product video URL (optional). Press Save. Beautify With AI and Beautify descriptions with AI use it.

Brand-word (VeRO) warnings

VeRO is eBay’s programme for brand owners to report listings that carry their names. eBay can remove such a listing and suspend accounts that repeat it. ELMS helps you check: you keep a list of words, and ELMS warns you when a draft or live listing uses one.

  1. In Settings, find the VeRO words card and press VeRO words.
  2. Type a word and press Enter, or paste several separated by commas. Use ELMS’s words adds a suggested list, Import from PDF adds the usable words of a PDF list and Clear all empties yours. Only words you save are used.

A draft with one of your words shows a VeRO chip, and the editor shows VeRO words found. The check covers the whole listing text, item specifics and brand. The VeRO words button in Drafts lists those drafts.

Press Remove brand words on the card, in the editor or in the bulk bar. Each time, ELMS asks you to tick that taking a brand word out of the text does not give you the right to sell a branded item; without the tick nothing is removed. ELMS removes the words and names them, so open the draft to check. It changes text only, not pictures. Every word of your list is removed, also one used in its ordinary meaning, and a sentence that no longer reads well may be dropped, so check the result. Publishing a draft that still has VeRO words asks you to confirm first; see Publish one draft.

Warnings are aids, not clearance

ELMS can warn only about the words you saved, and eBay can still act on a listing that passes. Taking a brand word out of the text does not make a branded or counterfeit item allowed. You are the seller, and you are responsible for what you list. For items eBay prohibits outright, see The prohibited-items stop.

Work on many drafts at once

Tick drafts and a bar appears at the bottom. Select ticks the page, Select all N takes the whole view and Select first N takes the first N.

Publishing

Publishing turns a draft into a live eBay listing in your selected store. You can publish one draft, publish a selection, or set a time for a draft to go live. ELMS works in the background, so you can keep using the app.

In brief

Press Publish on a draft, or select drafts and press Publish all. Credits are used when a listing is published and come back if the publish fails.

Before you publish

Publishing needs a payment policy, a fulfillment policy, a return policy and an item location for the store. You set them once in Selling settings; the steps are in Save your selling defaults. To use other policies or another location for one draft, see Policies and Item location and postal code.

Each draft also needs a selling price, an eBay category with the item specifics it requires, and at least one picture. A draft without a picture is marked No picture. If a draft has no category when you publish it, ELMS can pick one with the help of AI and save it on the draft; choose your own in the editor if you want to decide.

Publish one draft

  1. Open Drafts and check the card: Cost, Sell price, Qty and the profit line.
  2. Press Publish. If the draft contains VeRO words, ELMS shows VeRO words found. Choose Publish anyway or Go back.
  3. The draft is counted under Publishing now. When eBay accepts it, you get a notification and the listing appears in Live listings.

Publish many drafts

  1. Tick the drafts, as described in Work on many drafts at once.
  2. Press Publish all in the bar at the bottom and confirm.
  3. ELMS publishes in the background. A progress line at the top of Drafts shows how far it has got, and a notification tells you when the batch is done.

Drafts that eBay does not allow and drafts with no picture are left out, and ELMS tells you about them. If some drafts contain VeRO words, you confirm once for the selection.

Schedule a draft

  1. On the card open the three-dot menu (More actions) and choose Schedule listing.
  2. Choose the store in Publish to (hidden when you have one store), set Publish date & time and press Schedule.

The card moves to Scheduled and shows when it goes live, in your computer’s time. ELMS publishes at that time or shortly after, with the same checks as a normal publish, and credits are used then. Press Cancel schedule on the card to send the draft back to draft.

When a publish fails

A publish can fail because of the draft or because of eBay, for example a missing policy, a required item specific, no usable picture or a store that needs to be reconnected. Then:

  • the credits come back automatically;
  • the card shows Failed with the reason, and the draft is counted under Needs attention;
  • you get a Publish failed notification.

If eBay answers with a temporary error, ELMS tries again on its own before it reports a failure. To publish a failed draft again:

  1. Press Retry on the card. ELMS clears the failure and opens the Edit draft window.
  2. Fix what the reason names. In this window you can add a picture with Add images or Add from URL, set the eBay category ID or correct the Sell price, then press Save changes. If the reason is a policy or the item location, close the window, press Edit on the card and use the Product tab (see Policies and Item location and postal code).
  3. Open Drafts again, or reload the page, so the card refreshes. Then press Publish.

The prohibited-items stop

eBay prohibits some products outright. Before a draft goes to eBay, ELMS checks its text against its own list of those products. On a match the card shows Not allowed on eBay with the area it matched, and ELMS will not publish it. Nothing is sent to eBay and nothing is charged. A window explains why when you press Publish, and Publish all leaves those drafts out and offers to publish the rest. If you think a match is a mistake, change the title or description, or write to support.

An aid, not clearance

The stop and the VeRO warnings are aids, not clearance; see Brand-word (VeRO) warnings.

Publishing again

A sold-out or ended listing goes back on eBay with Relist. See Relist sold-out and ended listings.

Live listings

Live listings shows what you published to eBay from the selected store: price, profit, stock and watchers. Boxes above the list add up the store, for example Live now, Units sold, Watchers, Average margin and Need attention.

Sync from eBay

Press Sync from eBay to refresh the numbers that come from eBay, such as watchers. A line beside the button says when they were last synced; ELMS also refreshes them on its own. Edit reads the listing’s current details from eBay first, and Save changes updates the listing on eBay.

What you see on each listing

What a live listing shows
PartWhat it means
Status labelActive is live. Sold out means every unit sold. Ended is no longer live on eBay. Needs attention means something is wrong, and a red box says what.
PriceYour eBay selling price. Under it, cost is what the product costs you on Amazon.
ProfitWith your pricing rule: what is left after that rule’s eBay fees (% profit). Without a saved rule: selling price minus cost, before fees (% margin). Hover to see which. Here % margin is the plain gap between price and cost, not your Margin setting.
StockThe quantity available on eBay.
SoldUnits sold, counted from your synced orders.
WatchersPeople watching the item on eBay.
LabelsThe eBay and Amazon labels open the live listing and the source product. VeRO and policy labels warn about words eBay may act on. Your private note sits on the card.

Find your listings

The tabs are All, Active, Sold, Ended, Issues and Alerts, each with a count. Issues holds listings that need you, and the red box says why. If eBay reports live listings that break a rule, a banner above the list names the problems. Search by title, SKU or item ID, sort, filter by source or by VeRO words, switch between Cards and List, and press Export CSV to download the view. A Policy risk label on a live listing is a warning only.

Alerts

ELMS checks every listing once a day. The Alerts tab lists what the check found: a price it followed, up or down, with the Amazon price and your eBay price before and after (or the reason your eBay price was not changed); a listing it ended because the supplier is out of stock; a listing that is out of stock but could not be ended, which you end on eBay yourself; and a big price drop it is waiting to confirm with a second reading. Under the numbers of every row, a line that starts Why this is an alert: says in plain words what the check found and what happened to your eBay price. The red number on the tab counts the alerts you have not looked at yet, and Mark all as seen clears it. Filter by Price up, Price down or Out of stock. On a row, Find listing opens the listing in the list, Relist puts an ended listing back on eBay, and the x removes the alert. Alerts are kept for 45 days.

The same findings reach you in one email a day, sent only when something happened. In Settings, under Price & stock alerts, you can switch that email off, or ask to be told only about price changes of 1%, 5%, 10% or 20% and more. Listings that were ended or could not be ended are always in the email while it is on. The Alerts tab always lists every change.

Change many listings at once

Tick the Select box to take in the page, then press Select all N to take in the whole view. You can also tick listings one by one. The bar offers what fits the tab:

  • Change price (Active tab) reprices the selection on eBay with Use my pricing rule or numbers you enter, from each listing’s own Amazon price. A listing without one is skipped, with the reason.
  • Restock (Sold tab) puts a new quantity on eBay.
  • Bulk edit lets you tick what to change: Price, Title, Brand, Quantity, Tags, Note, Stock monitoring, Price monitoring, Item location or Policies. Price, title, brand, quantity, location and policies go to eBay; tags, note and monitoring stay in ELMS. ELMS asks you to confirm and lists every listing it skipped, with the reason.
  • Fill specifics with AI, Beautify descriptions with AI and Remove brand words push their result to eBay and can use credits. Read the window before you confirm.
  • Fit titles to eBay cuts a title that ends mid-word back to the last whole word. Only the title changes, and no credits are used.

Relist sold-out and ended listings

Select listings and press Relist, or use the three-dot menu on an ended listing. A window first shows what happens to each kind: a live listing is left as it is, a sold-out listing gets the quantity you type, an ended listing is published again as a new listing, and a listing that needs attention is not touched. Tick Also relist the other listings to include the rest of the store. Relisting an ended listing goes through the publishing steps above, so it uses credits like any publish.

End and delete

Select listings and press Delete & end on eBay, or choose Delete in the three-dot menu of one listing. ELMS ends a live listing on eBay and then removes it from ELMS. You confirm first, and it cannot be undone. On the Ended and Issues tabs the button reads Delete.

Monitoring stock and price

ELMS can watch the source products of your listings: when the source clearly says a product is out of stock, ELMS can end the listing for you, and when the source price changes it can update your eBay price to follow it. Both are switches you control per listing.

What monitoring does

  • Stock. ELMS looks at the Amazon product the listing was created from. If it clearly says the product is out of stock, ELMS ends the listing on eBay. While the source shows the product in stock, ELMS keeps the listing available on eBay and sets the eBay quantity itself, and a listing that sold out can be put back on eBay the same way. To set the quantity yourself, switch Stock Monitoring off for that listing.
  • Price. When the source price moves, ELMS recalculates your eBay price. A listing that was priced with your Margin keeps the rule it was priced with, so changing the Margin card later does not change it. A listing priced without a rule keeps the same gap between its source price and its eBay price. To price a live listing again with your current Margin, use Change price in Live listings and choose Use my pricing rule.
  • Credits. Each check uses credits, whichever of the two switches is on. Switch both off to stop them. A check with no clear answer is not charged: the credit is returned. If your balance cannot cover a check, ELMS skips it, ends nothing and sends you a notification.

A listing is watched through the supplier link it was created from. A product added from a CSV file has no such link, so there is nothing to watch.

Switch it on or off for a listing

Both switches start on, so monitoring uses credits when it runs even if you click nothing. If you switch both off, ELMS leaves that listing alone.

  1. Open Live listings and press Edit on the listing. For a draft, press Edit on its card in Drafts; the switches apply once it is published.
  2. On the Product tab go to Monitoring.
  3. Switch Stock Monitoring and Price Monitoring on or off, then press Save changes.

For many listings, select them, press Bulk edit, tick Stock monitoring or Price monitoring, and choose On or Off in Watch Amazon stock or Follow Amazon price changes.

What you see when ELMS acts

When ELMS ends a listing because the source is out of stock, you get a notification and the listing moves to the Ended tab. Relist it when the product is back. When the price changes, the new selling price and cost show on the listing.

What monitoring does not do

  • Monitoring ends a listing only when the source clearly says the product is out of stock. If the source does not answer, or does not say whether the product is in stock, the listing stays as it is.
  • Monitoring does not relist a listing on the Ended tab. You do that yourself.
  • Monitoring does not order anything from the source for you.
  • Monitoring does not change a title, a description or pictures. It can only end a listing, change its quantity or change its price.
  • Monitoring leaves alone a listing whose two switches are off, and a store that needs to be reconnected.

Good to know

ELMS acts on what the source shows when it checks. Source data can be late or wrong, so keep an eye on your orders.

Orders and tracking

Orders lists the eBay orders ELMS has loaded for the selected store, with their payment, address, tracking and your notes. New and changed orders arrive on their own. Press Sync from eBay to look right away; the first time, it loads your recent orders. Full sync re-reads all recent orders, not only the changes.

Find and group your orders

The tabs group orders by where they stand: All, Awaiting shipment, Awaiting payment, Shipped, Delivered and Cancelled, each with a count. The cards on top add up the period you chose in the box beside the search: orders awaiting shipment, revenue, profit and cancelled orders. On Awaiting shipment a filter shows Not ordered yet or Ordered. You can search by order ID, buyer, item or tracking number.

Work through an order

  1. Press Fulfil on the row (View for other orders). The order window shows the item, payment, the address with Copy address, fulfillment and your private note, plus View on eBay, Refresh from eBay, Message buyer and Packing slip.
  2. Buy the item from your source yourself. The AMAZON label on the row opens the product, and the order helper extension can help at this step. ELMS never places Amazon orders.
  3. Mark the order as ordered, then as shipped.

Mark as ordered

  1. On an order awaiting shipment, open the arrow beside the status (Order actions) and choose Mark as ordered.
  2. Enter the Delivery date (when the parcel arrives) and your Buying price. Both are optional.
  3. Press Mark as ordered.

The row shows Ordered with the arrival date. It is only a reminder for you: nothing goes to eBay or Amazon unless you switch on the eBay note below or the ordered message in Settings. ELMS adds ELMS: ordered and the date to the order’s private note, and the buying price goes to the Net Profit sheet. To remove the mark choose Undo “ordered” mark. If you switched on the ordered message under Auto buyer messages in Settings, ELMS sends it the first time you mark the order.

You can also type the buying price on the order itself. The Buying cost box on the row and Buying price in the order window are the same figure as Buying price on the Net Profit sheet. Cost per item in the order window is separate: it only sets the profit shown on Orders. Amazon order ID is a field for your own record; saving it also marks the order as ordered, but the ordered message is only sent when you press Mark as ordered.

The order helper extension

The order helper is a browser extension for Chrome; it shows its name as ELMS Order Sync (search the Chrome Web Store for that name; if you cannot find it, open a Support ticket and we will send you the link). It works on Amazon pages, and only in a tab you opened with the AMAZON label on an order row. It never clicks, types or submits anything for you: you place the order yourself.

  • A small panel, ELMS buyer address, shows the buyer’s delivery details from the order. Press Copy beside a field, or Copy full address, and paste it into Amazon’s own form yourself.
  • After you buy, press Mark as ordered in the same panel (on Amazon’s order confirmation page the panel shows only this button). Type the Delivery date and your Buying price, both optional, and press Mark as ordered again. ELMS marks the order exactly as when you use Mark as ordered in ELMS: the same note, the same ordered message to the buyer if you switched it on, and the note on eBay if you switched that on. The panel tells you what happened, also on eBay. To take the mark away again, use Undo “ordered” mark in ELMS.
  • It does not read what is on Amazon’s pages. It saves only what you type, and only when you press the button.

It connects with your personal extension key. Treat the key like a password: anyone who has it can use your account through the extension, and Regenerate makes a new key and stops the old one at once. Copy the key from the Browser extension card in Settings, paste it into ELMS Extension Key in the helper’s popup and press Connect ELMS Account. There is no separate switch for it in Settings. Disconnect ELMS in the popup removes the key from the browser.

Mark as shipped and add tracking

  1. Open Order actions and choose Mark as shipped, or press it in the order window.
  2. Choose the Carrier and type the Tracking number. If your carrier is not listed, choose Other.
  3. Press Mark as shipped.

The tracking number is optional. With one, ELMS sends it to eBay and the buyer sees it there. Without one, the order is marked shipped on eBay with no tracking number, and Update tracking adds it later. If eBay refuses the update, ELMS says Saved in ELMS only and shows the reason. A shipped message you switched on in Settings is sent now, once per order.

The buyer tracking page

When you save a tracking number, the order window shows a link to a tracking page for the buyer, with Copy link. The page shows a general status of the parcel. You can share the link with the buyer.

The order note

Every order has a private note. It is not shown to your buyer or to other ELMS users. Press + Add note on the row, or use Private note in the order window, and save. It stays in ELMS. Two switches above the list can also write to the private note of the order on eBay. Both are off until you switch them on, and ELMS asks you to confirm.

  • Also write “ordered” in the eBay note adds ELMS: ordered and the delivery date to eBay’s private note when you mark an order. Your own text there is kept.
  • Also copy my order note to eBay puts the note you save into eBay’s private note and replaces what is there. An empty note clears it. eBay keeps only a short note, so a long one is cut.

The eBay note can be written only while eBay lists the order as awaiting shipment.

Delivered

Press Mark delivered in the order window when the parcel has arrived. ELMS also moves a shipped order to Delivered once eBay’s estimated delivery date has passed. An order with no estimated date stays in Shipped until you mark it.

Buyer messages

Messages gathers the buyer conversations of the selected store in one inbox. You read and answer buyers, keep private notes and reuse saved replies. ELMS can also draft replies and send a few automatic messages. It sends nothing to a buyer unless you press Send, or you switched on Auto-send or an automatic buyer message.

The inbox

The page follows the store chosen in the sidebar. New buyer messages arrive in the inbox on their own, and Sync looks right away.

  • Tabs. From buyers, From eBay (notices from eBay itself) and Needs reply. The box under them switches between Inbox, Unread only, Archived and Trash. You can sort and search.
  • Rows. Unread conversations are bold. A tag such as AI draft shows what ELMS prepared. Buyer unknown means eBay did not name the recipient.
  • Many at once. Tick several rows to Mark as read or Archive them.

Read and reply

  1. Select a conversation. When eBay links it to an order, View order details opens Orders.
  2. Type in the box at the bottom. The buttons beside it attach a file or a photo and add an emoji.
  3. Press Send. ELMS sends the reply through eBay.

The three-dot menu of a thread offers Archive, Mark unread and Move to Trash; from Trash you can Restore it.

Saved replies

Press Saved replies at the top to add a reusable reply or delete one. In a conversation, choose it from the Saved replies list and it fills the box for you to edit. To keep a reply you just wrote, press Save reply and name it. Placeholders such as {{buyer_name}} and {{order_id}} are filled in when you use the reply.

Private notes

Open Private note, write it and press Add note. A note is private. It is not sent to the buyer and other ELMS users do not see it.

AI drafts and reply modes

The AI replies bar has three modes. The note beside it says how many credits a reply uses.

  • Off: you write every reply. Draft with AI in a conversation still gives you one draft.
  • Draft for me: when a new buyer message arrives, ELMS puts a draft in the reply box and tags the row AI draft. Edit it and press Send, or press Discard.
  • Auto-send: after you confirm Turn on Auto-send?, ELMS answers messages that look simple without asking. It tries to keep messages about refunds, returns, damage and complaints as drafts for you, but it cannot catch every wording, so switch Auto-send on only if you accept that a reply can go out before you have read it. The row gets the tag AI replied, and the thread shows what was sent.

Only messages that arrive after you switch a mode on are handled. If a draft cannot be written, the credits come back. If your balance is too low, ELMS skips the draft and notifies you.

Check before you send

AI can make mistakes. Check names, dates and promises. Automatic replies stay off until you turn them on.

Automatic buyer messages

In Settings, on the Orders tab, the Auto buyer messages card has five messages, each with its own switch. All are off at the start. Each message goes through eBay’s own messaging and is sent once per order.

Automatic buyer messages and when each one is sent
SwitchSent when
Thank-you messageThe order is first seen as paid. Orders paid long ago get nothing.
“Ordered” updateYou mark the order as ordered.
“Shipped” updateYou mark the order as shipped, or save its tracking number in ELMS for the first time. Tracking that ELMS copies from eBay by itself sends nothing. With tracking, it also gives the tracking number, and the carrier unless it is “Other”.
“Delivered” updateYou press Mark delivered, or ELMS marks the order delivered by itself overnight because the delivery date eBay gave has passed (and only if it passed in the last two days; overnight it also waits until two days after the order was marked shipped). Never sent for cancelled, unpaid or refunded orders, or for a store you have disconnected. ELMS does not see the parcel arrive, so the built-in text says the order should have arrived.
Review requestYou save the tracking number in ELMS for the first time, or press Mark as shipped. Tracking that ELMS copies from eBay by itself sends nothing.

Each message shows its text in a box. Change it and press Save wording, and that is what your buyer gets. A message you have not changed uses the built-in text, and Use the built-in text puts it back. The buttons under the box put the buyer’s first name, the product name, the tracking number or the carrier into the message, and the preview under the box shows the message with example values. ELMS does not save a message that uses a placeholder the message cannot fill in.

Net Profit

Net Profit is a sheet with one line for each order of the selected store that came from a listing made in ELMS. You type the buying price. ELMS reads the order earning from eBay once the payout is settled and works out the rest.

What each column means

The money columns of the Net Profit sheet
ColumnWhere it comes from
Buying priceYou type it. Mark as ordered can fill it too.
eBay priceWhat the buyer paid for the item.
ProfiteBay price minus Buying price.
Order earningWhat eBay pays out for the order, read from eBay when the payout is settled. A dash means eBay has not paid it out yet. You cannot type it.
eBay costeBay price minus Order earning: what eBay kept.
Ad feeThe Promoted Listings fee, read from eBay. It is already part of eBay cost, so it is not subtracted again.
Net profitOrder earning minus Buying price.

What you type

Click the Buying price cell of a line and type what the whole order cost you, for example 12.50. Press Enter or Tab, and ELMS saves it and updates the other columns. Until you type it, Net profit stays empty instead of showing a zero. A total row for each currency adds only lines that have a figure. Orders that do not come from an ELMS listing are not on the sheet.

Find, filter and export

Search by title or order ID. Pick one of the quick ranges, or set From and To; a strip above the sheet adds up the net profit of that range. A cancelled order is never in the sheet (it stays on the Orders page, under Cancelled). Export Excel downloads the view, and Add lines loads more lines when only part are shown.

Safety Center

The Safety Center (in the sidebar, under Account) shows, for every store you have connected, how safe your eBay account looks: your account health, your VeRO words and the eBay rules. It is part of the paid plans. On a free account the page says so and offers View plans. ELMS does not send you a warning by itself yet: open the page to look.

Account health

The first section is the same Seller health card as on the Dashboard: your seller level and, for each number eBay measures (for example defects, late shipments and cases), the number and the limit eBay sets for your level. In the Safety Center every number also has a chip:

  • Fine: the number is well inside the limit.
  • Watch: you have used 75% of the limit or more. The row says how close you are, for example “At 82% of the limit”.
  • Danger: you have used 90% of the limit or more, or you are over it.

That is for numbers that must stay below a limit. For numbers that must stay above a limit (for example tracking uploaded on time), Watch and Danger mean you are close to the limit or below it, and a number that eBay itself marks Below standard is always Danger. The “At N% of the limit” line is only shown for numbers that must stay below a limit.

A line at the top counts them: “Everything is within the limits”, “2 numbers to watch” or “1 number in danger”. A number for which eBay gives no limit has no chip, and the line only counts the numbers that have one.

ELMS reads these numbers from eBay about once a day for each store, so they can be up to a day old; the card says when it was updated. Check again asks eBay again if it was not asked a moment ago. When eBay needs a one-time permission for a store, a Reconnect eBay button appears instead of the numbers.

VeRO

The second section says how many of your live listings contain one of your VeRO words (see Brand-word (VeRO) warnings) and how many words your list has. Show these listings opens Live listings with the VeRO filter on; Edit VeRO words opens your list in Settings. “Not known yet” means ELMS has not counted them yet: it is never shown as zero.

eBay rules

The third section says how many of your listings the eBay rules flagged: their publish was stopped, so they sit under Issues in Live listings, and Show these listings opens that tab. “None flagged” means there is none. “Not known right now” means ELMS could not count them this time: press Try again. ELMS also checks each draft against the rules before it is published (see The prohibited-items stop).

The buttons of a store’s card open the lists of that store. If it is not the store selected in the sidebar, ELMS selects it for you first (the sidebar then shows it). Edit VeRO words opens your own list, which is the same for every store.

Research tools

Research Tools looks products up on Amazon, so you can judge a niche before you import. Pick a tab, enter an ASIN or an Amazon product link and press the button. A lookup can use credits. A figure Amazon does not give is shown as unavailable.

Notifications

Notices sit behind the bell in the top bar, and a number on the bell counts the unread ones. The list follows the store you selected.

The bell and the Notification Center

  1. Press the bell to see the latest notices. Mark all read clears the count.
  2. Press View all notifications to open the Notification Center, with tabs All, Unread, Publishing, Orders, Messages and System.
  3. Press a notice to read it. Opening it marks it as read, and Mark unread brings it back.

What you are told about

  • A listing was published, a publish failed or a batch finished.
  • A store was connected and its first orders and messages loaded.
  • Listings were ended because the source is out of stock, or could not be ended, or are no longer live on eBay.
  • Stock monitoring stopped because you ran out of credits. The listings it has not reached are checked once you have credits again.
  • An AI draft was skipped for lack of credits.
  • Someone signed in from a new device.
  • A message from the ELMS team opens as a window; press OK.

Service e-mails (receipts, a plan that is ending, new devices, ticket replies) are sent even if you unsubscribe from news.

Credits and plans

Credits are used when an action completes. If an action fails, the credits come back automatically. A plan is paid for one term; the credits that come with a plan are valid until the term ends, and we e-mail you before it ends. Credits you had before a plan are not affected.

Where to see your balance, and where a cost is shown

Your balance is shown at the top of the app: the credits chip in the top bar shows it and opens Buy Credits, which also shows Your balance. Some windows show the cost before you confirm, and a few other places show it beside the action:

  • A window that asks you to confirm a bulk action, such as filling categories, item details or descriptions with AI for a selection, states the cost first. An item that is skipped or fails is not charged.
  • On Messages, the note beside the AI replies modes says what a reply uses.

Other actions, such as an import from the Import page, a publish, a monitoring check or a research lookup, use credits when they complete, and the credits chip shows your new balance.

When your balance is too low, ELMS stops and shows Out of credits with a Buy credits button. Nothing you built is lost.

Buy a plan

  1. Open Buy Credits. Each plan card shows its name, credits, price and the number of eBay stores it includes.
  2. If you see a switch between terms, choose the term first. If you have a voucher, pick it from the list above the plans. Build your own plan, when it is shown, lets you choose an amount, a term and extra stores, and shows the price before you buy.
  3. Press Purchase on the plan. A window asks how you want to pay: with your wallet and, when they are offered, by card or with crypto. A voucher or a discount applies to all of them. Review your order lists plan, credits, stores and price, with the refund rule below. Press Continue to payment, or Cancel.
  4. Pay on the payment page. When the payment is confirmed, a message tells you and the credits are in your balance.

Payments are handled by our payment partner. ELMS never sees your wallet details. You pay by card or with a digital wallet. Taxes may be added at checkout where they apply. If you cannot pay either way, write to support@elmstool.com and we will help you renew your plan.

When a plan ends

While a plan runs, Buy Credits shows when it ends. When the term ends, the credits that came with the plan end with it. The credits you had before stay, and so do your listings, drafts and orders. The number of stores you can connect goes back to what it was before the plan. After the end, a window offers See plans. If you buy again before the end, the new plan’s credits are added at once, and the plan then runs for one more term after the current end date.

Purchase history and invoices

The Purchase history card lists each plan with its date, amount, credits and status. Press Invoice on a line to download the PDF. A receipt is also sent to your e-mail.

Vouchers

A voucher from ELMS appears under Vouchers. It works once and only for you. Press Redeem, or Use on Buy credits for money off a plan.

Refunds

You can ask for a full refund within 7 days of a purchase. You do not need to give a reason. A refund is not possible if more than 5% of the credits that came with the purchase have been used.

Credits you use count towards the 5% limit, including credits used by a person on your team and by automatic features such as stock and price monitoring. Credits that come back after a failed action are not counted. When we approve a refund, the plan and the credits that came with that purchase end. For a listing pack or a one-off service, the same 7 days and the 5% limit apply, counted on the listings that were delivered, and we may remove what was delivered. If you received less than you bought, write to support@elmstool.com.

To ask for a refund, write to support@elmstool.com from your account’s e-mail address, or open a Support ticket with the topic Billing, and name the purchase. A request counts from when it reaches support@elmstool.com, becomes a ticket, or is sent through the help link on your payment receipt. Credits that come back after a failed action are returned to your balance, not refunded. The Refund Policy explains how the 7 days and the credits you have used are counted.

Referrals and affiliates

Two programmes can reward you for bringing other sellers to ELMS. ELMS sets the rewards and can change them, so the app shows what applies now.

Refer & Earn

Every account has a referral code and a link on the Refer & Earn page, with share buttons. A friend joins with your link, or types your code in Referral code on the sign-up form; a code works once, at sign-up. The page describes the current offer and counts Friends joined, Friends who bought and Credits you earned.

Affiliate

The Affiliate page is for people who promote ELMS to an audience. Press Apply to be an affiliate. We review each application and e-mail the decision. After approval the page gives you your own link and shows sign-ups, paying customers and earnings. You save your payout details and press Request payout there; the page shows the minimum and the method.

Self-referrals, fake sign-ups and spam are not allowed and can cancel commissions. The Affiliate Terms set out the rules.

Account and security

Passwords are stored as one-way hashes, eBay and supplier access tokens are stored encrypted, and data is encrypted in transit. No system is completely secure.

Devices signed in

In Settings, the Devices signed in card lists each device where your account is open, with its browser, an approximate place taken from the IP address, and when it was last active. Yours carries This device. Log out on a row ends that device, Log out other devices ends all but this one, and Log out everywhere ends every device, including this one.

New-device alerts and login activity

When someone signs in from a device ELMS has not seen, you get a notification. Unless you switch off Email me when someone signs in from a new device, you also get an e-mail. The Login activity card lists recent sign-ins and wrong-password attempts.

If someone else may have your account

Set a new password first. It signs out every device that was signed in, including any you do not know, and the old password stops working. If you press Log out everywhere first, someone who knows the old password can sign in again.

  1. Log out on your own device: your name in the top bar, then Logout. On the sign-in form press Forgot password? and set a new password with the code ELMS e-mails you (see how to reset your password). The code goes to your e-mail address, so make sure that mailbox is safe first.
  2. If you use the order helper extension, open Settings, find the Browser extension card and press Regenerate. A new password does not end the extension key; regenerating stops the old key at once. Paste the new key into the extension.
  3. Sign in with the new password and check Devices signed in and Login activity in Settings. Press Log out on any device you do not recognise.
  4. To report a security problem, write to support@elmstool.com.

Leaving ELMS

To stop using a store, press Disconnect on it in Settings (see Select, rename or disconnect a store). To delete the account, open a Support ticket, or write to support@elmstool.com from your account’s e-mail address. We may ask you to confirm, then e-mail you and give a short notice. Signing in during that time cancels the deletion.

Deleting removes your drafts, listings, orders, messages and notes from ELMS. Listings that are live on eBay stay there. We keep purchase and invoice records, and unused credits are lost. If your payment method renews your plan, stop the renewal first, as the Refund Policy explains. See Deleting your account in the Terms.

Suspension, bans and appeals

  • Suspended. The screen Your account is suspended shows the reason. Enter Your ELMS account email, tell us What happened? and press Send appeal. A person reads it and answers by e-mail. An appeal does not lift a suspension by itself.
  • Blocked network. Access from this network is blocked has the same form.
  • Permanent ban. Your account has been permanently banned is final and has no appeal form.

Making a new account to get around a suspension or a ban breaks the Terms. See Suspension, bans and ending.

Support tickets

Open Support, pick a topic under New ticket or write your own Subject, and in Message give the store, the product and the exact message you saw. Press Submit ticket. The first reply to a ticket may be written with the help of an AI service; the app labels it ELMS assistant. A person handles serious matters, money questions and appeals: messages that look like they are about refunds, payments, security, privacy, legal matters or access to your account are passed to a person, and appeals are read only by people. Talk to admin brings in the team yourself, and Solved — close ticket ends the ticket. We do not promise a response time. For privacy or legal requests, see Contact.

Troubleshooting

Find the message you see. If a fix does not work, open a Support ticket and include the exact message.

An import fails

If you see That does not look like a valid Amazon product URL. paste the product page address itself. If ELMS says the link is from a different Amazon site, use a link from the site that fits the selected store. If you see ELMS could not reach the product source right now. Nothing was charged. try again in a moment.

A store needs reconnecting

A red banner says Reconnect your eBay store. and names what is not coming in, such as new orders or buyer messages. Press Reconnect eBay and agree on eBay’s page. Your listings and data stay as they are.

A publish fails

The card shows Failed with the reason, and the credits come back. Press Retry, fix what the reason names and save, then open Drafts again and press Publish. See When a publish fails.

Credits seem to be missing

Credits from a failed action come back on their own, normally within moments. Reload the page and check the credits chip. A plan’s credits end with its term. If one is still missing, open a ticket with the topic Credits and name the action and the time.

I paid and my plan is not active

Stay on Buy Credits for a moment. ELMS adds the plan once the payment is confirmed and then tells you. If nothing changes, open a ticket with the topic Billing and give the date and amount.

A check cannot run right now

The message This check cannot run right now. Please try again later. means the check could not run. Try again later. If an action fails, its credits come back.

Orders or messages do not show up

Check that the right store is selected in the sidebar, because every page follows it, and look for the reconnect banner. Then press Sync from eBay on Orders or Sync on Messages. Still missing? Open a ticket with the topic Orders / messages.

Order earning stays empty in Net Profit

A dash means eBay has not paid that order out yet. If it stays empty for paid-out orders, look at your store under eBay stores in Settings. A chip reading Order earning isn’t syncing for this store has a Reconnect eBay button.

The AI helper is not available

If you see The AI helper is not available right now. Please try again in a moment. No credits were used. try again shortly or write the text yourself.

I cannot sign in

Press Forgot password? to set a new password. A blocked screen gives the reason and, where it applies, an appeal form; see Suspension, bans and appeals.
